Policies and Procedures

Due to the nature of our business, vacancies are extremely difficult to fill on short notice. As such, all cancellations are subject to the terms outlined below. These terms apply to deposits and payments made for all reservations unless otherwise noted.

Definitions

• Deposit: The initial payment made to secure a reservation.
• Roll-Over: When a deposit is applied to a future reservation.

Summer Reservations

• Cancellations 90 days or more prior to arrival: Refund of the deposit minus a $100 cancellation fee per person.
• Cancellations within 90 days of arrival: The full deposit may be retained. Any refund of the deposit is at the discretion of Upper Canyon Outfitters and will be considered based on the timing of the cancellation and other relevant circumstances.

Hunting Reservations

• Cancellations before February 1 of the reservation year: Refund of the deposit minus a $100 cancellation fee per person.
• Cancellations after February 1: The full deposit may be retained. Any refund of the deposit is at the discretion of Upper Canyon Outfitters and will be considered based on the timing of the cancellation and other relevant circumstances.

Hunting License/Tag Contingency

All hunting licenses, preference points, tags, and other associated state fees are handled through the state and are subject to the state’s rules and refund policies. Upper Canyon Outfitters is not responsible for refunds of these items.

If Upper Canyon Outfitters applied for all your preference points and licenses and a tag is not successfully drawn, the deposit for our services will be returned in full or rolled over to the following year.

Roll-Overs

• Deposits may be rolled over to the following year.
• Roll-overs honor the original trip price for the first year; subsequent years are subject to the current year’s pricing.
• Reservations may be rolled over up to two times. Additional roll-overs are at Upper Canyon Outfitters’ discretion.
• If a rolled-over reservation is later canceled, the deposit will not be returned.
• Requests for roll-over must be submitted in writing no later than 30 days before the original arrival date.

Upper Canyon Outfitters reserves the right to decline a roll-over. In such cases, the reservation may be canceled and the deposit retained.


Partial Cancellations

Partial cancellations are subject to the same policy as full cancellations.
Examples include:
• One or more members of a group canceling
• Arriving later than originally booked
• Departing earlier than originally booked
• Canceling more than half of originally booked activities

Deposit Returns

• Refunds are issued to the original payment method unless otherwise arranged.
• Credit card, shipping, or other transaction fees are non-refundable.

Force Majeure

Upper Canyon Outfitters is not responsible for cancellations caused by circumstances beyond our control, including but not limited to natural disasters, government restrictions, or public health emergencies.

In such events, Upper Canyon Outfitters may, at its discretion, offer:
• Rescheduling
• Roll-over to a future year
• Refund of the deposit, less any non-recoverable fees

We strive to provide an exceptional experience and handle cancellations fairly. All cancellations and refunds are subject to these terms, which reflect the operational realities of our business.
